Welcome to Nodi ("we," "us," or "our"). Nodi is an AI-powered career and recruiting platform that helps candidates discover job opportunities, manage their careers, and connect with employers, while helping companies streamline their recruiting processes. This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you create an account directly with Nodi or through a job application that uses Nodi (collectively, the "Service").

This Policy covers standard Nodi candidate accounts. If you purchase Nodi's Career Agent service, a separate policy — the Nodi Career Agent Privacy Policy — applies to that service in addition to this one.

By accessing or using the Service, you acknowledge that you have read, understood, and agree to this Privacy Policy. If you do not agree, please do not use the Service.

Your Privacy at a Glance

  • We never sell your personal information.
  • We never use your personal information to train AI models, ours or anyone else's.
  • Your profile is private by default. Employers cannot browse or search it.
  • You may choose to make your profile discoverable to Nodi's sourcing tool — entirely at your discretion, and reversible at any time.
  • Your information is shared with a specific employer only when you apply to one of their job opportunities, or when you've opted your profile into sourcing and that employer finds you through it.
  • You can disable sourcing visibility or automatic job matching at any time.
  • You can request deletion of your account and personal information at any time.

How Nodi Works

You may create a Nodi account either directly or while applying to a job that uses Nodi.

Creating a Nodi account gives you access to Nodi's free candidate services, including:

  • AI-powered career tools
  • Job recommendations
  • Automatic job matching
  • Application management
  • Resume and profile management
  • Additional candidate features that may become available over time

Creating an account does not, by itself, make your information visible to employers. Your resume, profile, contact information, and other personal information are shared with an employer only in the two circumstances described in Section 5: when you choose to apply to one of that employer's job opportunities, or when you've chosen to make your profile visible for sourcing and that employer finds you through it.

If you sign in with Google, we receive:

  • Name
  • Email address
  • Profile picture

Usage Information

We collect information about how you use Nodi, including:

  • Pages visited
  • Features used
  • Application activity
  • Time spent using the platform
  • Interaction patterns

Device Information

  • Browser
  • Operating system
  • Device type
  • Screen resolution
  • IP address

Cookies and Similar Technologies

We use cookies to keep you signed in, remember your preferences, improve platform performance, and measure product usage. More information is available in Section 9.

2. How We Use Your Information

2.1 Providing the Service

We use your information to:

  • Create and maintain your account
  • Maintain your candidate profile
  • Recommend relevant job opportunities
  • Match you with jobs based on your skills, experience, education, preferences, location, salary expectations (if provided), language proficiency, and other profile information
  • Allow you to apply to jobs
  • Manage your applications
  • Send notifications related to applications, interviews, and job opportunities
  • Provide AI-powered career tools and other candidate services

Your Data

You remain the owner of the personal information you provide to Nodi. We process your information solely to provide the Services described in this Privacy Policy, improve your experience, and connect you with relevant employment opportunities. We do not use your personal information, resume content, or profile data to train machine learning or AI models — ours or any third party's.

2.2 Communications

We may send you product updates, career resources, job recommendations, platform announcements, and application-related notifications. You may unsubscribe from non-essential communications at any time using the unsubscribe link included in our emails.

Some service-related communications (such as security notifications, account updates, and application-related messages) are necessary to provide the Service and cannot be disabled while your account remains active.

2.3 Improving Nodi

We also use your information to improve our platform, develop new features, analyze usage patterns, prevent fraud, maintain platform security, comply with legal obligations, and enforce our Terms of Service.

3. Google API Services — Limited Use Disclosure

Nodi's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only request access to the Google user data that is necessary for the Service to function. This includes: (a) authentication and basic profile information (name, email, and profile picture) for all users, and (b) Google Calendar data for Recruiters who opt in to the interview scheduling feature, used exclusively to check availability and create interview events.
  • We do not use Google user data for serving advertisements, including retargeting, personalized, or interest-based advertising.
  • We do not sell Google user data.
  • We do not allow humans to read your Google user data unless: (a) we have your affirmative agreement, (b) it is necessary for security purposes (e.g., investigating abuse), (c) it is necessary to comply with applicable law, or (d) the data (including derivations) is aggregated and anonymized and used for internal operations.
  • We do not transfer Google user data to third parties unless: (a) it is necessary to provide or improve user-facing features that are prominent in the requesting application's user interface, (b) you provide affirmative consent, (c) it is necessary for security purposes, or (d) it is necessary to comply with applicable law.

4. AI-Assisted Processing

Nodi uses AI-assisted technologies to:

  • Parse resumes and profiles
  • Extract structured candidate information
  • Recommend relevant job opportunities
  • Organize applications
  • Assist recruiters in evaluating and ranking candidates
  • Power candidate-facing career tools

These automated systems are designed to support — not replace — human decision-making. Employers and recruiters remain solely responsible for their hiring decisions, and Nodi does not make hiring decisions on their behalf.

5. Profile Visibility and Data Sharing

Nodi gives you direct, explicit control over whether your profile can be discovered by employers outside of the jobs you apply to.

5.1 Private by Default

When you create a Nodi account, your profile is private by default. A private profile is not visible, searchable, or discoverable by any employer or recruiter using Nodi's sourcing tool. It exists only so that Nodi can power your own job recommendations and applications.

5.2 Public Profile (Opt-In Sourcing Visibility)

You may choose, entirely at your discretion, to make your profile public for the purposes of Nodi's sourcing tool. If you opt in:

  • Your profile becomes discoverable by recruiters and employers searching Nodi's candidate sourcing tool for roles that may match your background.
  • Recruiters may view your profile and reach out to you about relevant opportunities, even if you have not applied to their job.
  • You may switch your profile back to private at any time through your account settings, which immediately removes it from sourcing search results going forward.

Making your profile public is never required to use Nodi's free candidate services, and your default status remains private unless and until you affirmatively opt in.

5.3 When You Apply

When you choose to apply to a job, Nodi shares your application and relevant profile information — including your resume, contact information, and any additional information you provide — with the employer or recruiter responsible for that specific job. Your information is shared only with the employer(s) associated with the job(s) you apply to, or, if your profile is public, with employer(s) who source your profile directly.

Applying to one job, or being public for sourcing, does not make your profile visible to companies outside of Nodi's platform.

5.4 Disabling Matching

You may disable automatic profile matching at any time through your account settings. When matching is disabled, Nodi will stop recommending jobs and you will no longer receive automatic invitations to apply. You may continue browsing and applying to jobs manually. Disabling matching is separate from, and does not by itself change, your public/private sourcing visibility setting.

6. Data Sharing with Third Parties

Nodi does not sell, rent, or license your personal information, and does not use it to train AI models. We only share your information in the following situations.

Employers and Recruiters

Your application, resume, profile, and contact information are shared with an employer only when (a) you explicitly choose to apply to one of their job opportunities, or (b) your profile is set to public and that employer sources it through Nodi's sourcing tool. Employers cannot otherwise browse or search candidate profiles.

Service Providers

We work with trusted providers that help operate our platform, including services such as Google Cloud Platform, Firebase Authentication, and Vercel Analytics. These providers may process personal information only to provide services to Nodi and are contractually required to protect your information.

Legal Requirements

We may disclose information if required by law or legal process.

Business Transfers

If Nodi is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different Privacy Policy.

With Your Consent

We may share information with additional third parties when you explicitly authorize us to do so.

7. Data Retention

We retain personal information only for as long as necessary to provide the Service or comply with legal obligations.

  • Account data remains while your account is active.
  • Deleted accounts are permanently removed within 30 days.
  • Profile information is removed from matching and sourcing visibility immediately after account deletion.

If you apply to a job, employers may retain copies of your application materials according to their own privacy policies and legal obligations, even if you later delete your Nodi account.

8. Data Security

We use industry-standard safeguards to protect your information, including encryption in transit (HTTPS/TLS), encryption at rest, secure password hashing, Firebase Authentication, role-based access controls, Google Cloud Platform infrastructure, and continuous monitoring and security practices.

Nodi employees may access personal information only when necessary to operate, maintain, secure, support, or improve the Service, and only under appropriate confidentiality obligations.

9. Cookies and Tracking Technologies

We use essential cookies for authentication, preference cookies for settings, and analytics cookies to improve the platform. We do not use cookies for advertising or retargeting.

You can manage cookies through your browser settings, although disabling essential cookies may impact platform functionality.

10. Your Rights and Choices

Depending on your jurisdiction, you may have the right to access your personal information, correct inaccurate information, delete your account, export your data, restrict processing, object to certain processing, withdraw consent where applicable, and disable automatic job matching or public sourcing visibility.

Most privacy settings — including profile visibility, matching, communication preferences, and account management — can be managed directly through your account.

Requests that cannot be handled through the platform may be sent to hello@nodi.global. We generally respond within 3 days.

11. Children's Privacy

Nodi is not intended for individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected such information, we will promptly delete it.

12. International Data Transfers

Your information may be transferred to and processed in countries outside your country of residence. We take reasonable measures to ensure your information remains protected in accordance with this Privacy Policy.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When material changes are made, we will update the "Last updated" date and notify users through email or a prominent notice within the platform when appropriate.
